Sojourn Media is a video production and digital marketing agency in Central Pennsylvania. This policy explains what information our website, sojourn.media, collects, how we use it, and the choices you have. In this policy, “we” and “us” mean Sojourn Media.

Information you send us
Contact form. Our contact form asks for your name, email address, a description of your project, your budget range and your timeline. It also has optional fields for your company or organization, phone number, type of project, and how you heard about us.
Monthly marketing planner. The planning form on our Monthly Marketing Support page asks you to choose a starting plan and your email address. It also has optional fields for add-ons, your name, phone number, your main priority, and how you heard about us.
Information recorded with each form entry. When you send a form, our form software also automatically records your IP address, the country associated with it, the type of browser and device you used, the page you sent the form from, and the date and time.
Spam protection. Our contact form uses Google reCAPTCHA to block automated spam, and our site uses Akismet spam protection from Automattic. These services receive information about your visit or submission to tell people from bots.
Emails about your submission. When you send the contact form or the monthly planner form, a copy of your submission is emailed to our business email. When you send the monthly planner form, we also email you a confirmation with a summary of what you submitted.
How we use this information
- To reply to you, follow up about the services you asked about, and prepare quotes and proposals.
- To plan and carry out work you hire us to do, and to keep a record of our correspondence.
- To keep our forms and website free of spam and abuse.
We do not sell your information. We do not add people who contact us through this website to a newsletter or marketing email list.
How we store your form entries
Form entries are stored in our website’s database, which is hosted by WordPress.com. We do not currently delete entries on a set schedule, so they remain stored until we delete them. If you would like your entry deleted, email us and we will remove it from our website, unless we need to keep it because it has become part of a project or business record.
Email copies of submissions and any replies become part of our business email. If an inquiry turns into a project, related information becomes part of our client records. We keep those records as long as we need them for the work and for business, accounting and legal purposes.
Analytics and cookies
Cookies are small files a website stores in your browser. We use cookies for analytics. The site also uses cookies to keep our own team signed in, and embedded YouTube videos may set their own cookies. We do not show a cookie banner, so the analytics described below start when a page loads. You can block or delete cookies in your browser settings at any time.
Google Analytics. We use Google Analytics 4 to understand how visitors use our site. It sets cookies in your browser (named _ga and _ga_ followed by an ID). It records the pages you view, your approximate location, your device and browser, how you arrived at the site, and some interactions, such as scrolling, clicks on links to other websites, and starting or sending a form. When a form is sent successfully, it records that a submission happened, but not what you typed.
We do not send names, email addresses, phone numbers or form contents to Google Analytics. We have not linked it to any advertising account, and its Google Signals feature is turned off. Google Analytics is set to keep detailed visit data for 14 months; summary reports are kept longer. You can stop Google Analytics from collecting data about your visits with Google’s opt-out browser add-on, or by blocking cookies.
Site statistics. Jetpack Stats (from Automattic, our hosting provider) records page visits and general traffic information. Metricool, a social media and marketing analytics service, runs a small tracking script that records which pages are visited and your screen size. Like any web request, it also receives your IP address and basic browser information. We use both for our reporting.
We do not use advertising or remarketing pixels, such as those from Meta, LinkedIn or TikTok, and we do not use analytics data for advertising.
Other services on our pages
Some parts of our site load content from other companies, which receive your IP address and basic browser information when they deliver it:
- Automattic (WordPress.com and Jetpack) hosts the site and delivers its images and some fonts.
- Google Fonts delivers some of the typefaces used on the site.
- YouTube (Google) hosts some of the videos on our site. On larger screens, our homepage background video loads from YouTube, and other embedded videos load from YouTube when their page opens. YouTube may set its own cookies.
- Google reCAPTCHA runs on our contact page, as described above.
Each of these companies handles information under its own privacy policy.
Tools we use to run our business
After your inquiry reaches us, we may use these tools to respond and to do our work: Google Workspace (email), Google Calendar (scheduling), Google Drive (files), Trello (project and task tracking), Metricool (social media management and reporting), QuickBooks (invoicing and accounting) and Frame.io (video review and delivery). We only put information in a tool when we need it there.
AI assistants. We sometimes use AI assistants, currently ChatGPT (from OpenAI) and Claude (from Anthropic), for drafting, planning and other business tasks. We use them to help maintain this website as well. This work can include parts of inquiries, correspondence or project information, and viewing stored form entries. We have turned off the settings in both accounts that let these providers use our chats to train or improve their AI models. Each provider still processes and stores that information under its own terms and privacy policy.
When we share information
Beyond the service providers described above, we share information only when needed to do work you have asked us to do, or when the law requires it.
Your choices
You can ask us what information we hold about you, or ask us to correct or delete it, by emailing hello@sojourn.media. We may need to confirm your identity first. We will do what we can, but we may need to keep some records, such as invoices, contracts and project records, for business or legal reasons. If we cannot fully meet a request, we will tell you why.
You can also control cookies through your browser settings and use Google’s opt-out add-on for Google Analytics.
Children
This website is intended for businesses and organizations. It is not directed to children, and we do not knowingly collect information from children under 13. If you believe a child has sent us information, contact us and we will delete it.
Keeping information safe
We use established service providers to run our website and business. No website, email or storage system is completely secure. Please don’t send sensitive or confidential information through our website forms; contact us and we will arrange a better way to share it.
Where information is processed
We are based in the United States. The services we use may store or process information in the United States or other countries.
Changes to this policy
We may update this policy when our website or tools change. The date at the top shows when it was last updated.
